When you switch e-invoicing on, your company gets its own e-invoice address. Your suppliers' invoices arrive in the service through it, so you no longer need to save them as expenses yourself. Receiving them is included in your service at no extra charge, and switching it on is up to you.
📨 What is an e-invoice?
An e-invoice is an electronic invoice your supplier sends to your e-invoice address instead of on paper or as a PDF. The address is opened, and the invoices are delivered, by the e-invoice operator Maventa, part of Visma.
1️⃣ Start the set-up
Choose Received invoices in the menu
In the card below the list, press Read more
2️⃣ Go through the steps
Strong identification with your online banking credentials or mobile certificate
Customer due diligence: a few questions about your business, because the law requires us to know our customers. If yours are still valid, this step is already done.
Accepting the terms: you accept our terms of service, which include Maventa's terms of service
Opening your e-invoice address: Maventa verifies your company and opens the address. This usually takes a few minutes, and you can leave the page in the meantime.
ℹ️ Your company's name, business ID, address and email address are passed to Maventa.
3️⃣ Give the address to your suppliers
Once the address is ready, it shows at the top of Received invoices. Give your suppliers these details:
E-invoice address: shown in the service
Operator: Maventa
Operator ID: 003721291126
📌 Invoices start arriving as e-invoices once a supplier has added the address to their own invoicing. A supplier's paper and PDF invoices don't turn into e-invoices by themselves.
🔔 When an invoice arrives
You are notified of the new invoice
It appears in Received invoices with its amount, due date and payment details
💳 Paying an invoice
Pay in the service: press Pay on the invoice. The payment is made with Nello Pay, straight from your own bank account: you choose your bank, identify yourself and approve the payment. The invoice is marked paid by itself once your bank confirms the payment.
Pay in your own online bank: pay the invoice with its payment details as before. Then open the invoice in the service, press Mark as paid and choose the day the payment left your account.
❗ Don't pay the same invoice twice. If a payment's status is unclear, check your account's transactions first.
📒 Accounting
Once the invoice is paid in the service or marked paid, it becomes an expense in your accounting. You don't need to save it separately in Expenses.
↩️ Credit notes
A supplier's credit note reduces the invoice it credits, so less is left to pay. You find the credit note under Related on the invoice.
🚫 An invoice that isn't yours
Open the invoice and press Cancel invoice. Let the sender know as well.
